Program Summary

Knowing AI Agents Exist Is Not a Strategy. Re-Engineering the Workflow Is

Knowing that AI agents exist is the easy part. The harder work is re-engineering a legal process so those agents actually improve it. This program turns theoretical capability into actionable practice through live workflow decompositions, from client intake and document review to drafting complex motions. Three sessions follow one framework: Define, Design, Deploy.

Pick the wrong entry point, and the project carries risk without the yield. Miss a stakeholder or an exception, and the map stops matching what is actually done. Skip the human-in-the-loop checkpoints, and no one involves, evaluates, or approves the output. Measure only time saved, and accuracy, client delivery speed, and error reduction go untracked. Leave billing out of the client conversation, and AI efficiency runs straight into the hourly model.

You walk out with a process map Legal Ops and legal teams can work from together. It shows how to scope the first workflow, match each step to AI and non-AI tools, and build ROI and quality metrics in from the start. It covers security, IT and management signoffs, and rollout. The judgment calls stay yours: where people approve, what counts as success, and how to explain it to clients.

Key topics to be discussed:

  • Choosing the Right Workflow
Find low-risk, high-yield entry points in your current practice, document what is actually done in the workflow, and decide where its exceptions fit into the proposal.
  • Stakeholders, Plans, and Budgets
Identify every stakeholder in the workflow, get the project plan down on paper, and build a budget case that gets past roadblocks.
  • Tools and Human Review
Talk to engineers in their lingo, select the right AI tool for each step, start small and iterate, and set where people involve, evaluate, and approve before testing.
  • Metrics Beyond Time Saved
Plan measurement into the process from the start, tracking accuracy rates, client delivery speed, and error reduction alongside time saved.
  • Security, Signoffs, and Rollout
Address security concerns, test with users and incorporate their feedback, secure signoffs from IT and management, and educate users for rollout.
  • Reuse and Client Billing
Keep the roadmap open to growth, apply principles of reuse to the next workflow, and manage client expectations, AI transparency, and the impact on hourly billing.

Agenda

SESSION 1 – Define Legal Workflows: Map the Opportunity & Stakeholders | Bob Ferrante & Rick Wood & Sophiya Volkova | 12:00pm – 12:40pm

The program opens with its three-part framework: Define, Design, Deploy. This session covers the Define stage: identifying low-risk, high-yield entry points in your current practice, learning what is actually done in a workflow, and knowing every stakeholder to talk to. It then addresses where exceptions fit into the proposal, getting the project plan down on paper, moving the budget past roadblocks, and planning measurement so it is part of the process from the start.

BREAK | 12:40pm – 12:50pm

SESSION 2 – Design Legal Workflows: Understand and implement technical capabilities | Bob Ferrante & Rick Wood & Sophiya Volkova | 12:50pm – 1:30pm

You’ve chosen a workflow that you want to automate. Here’s a roadmap on how to map the parts of your workflow to technologies — both AI based and not — that will let you make it into something you can get up and try out. The session covers the lingo for talking to engineers, selecting the right AI tools for each workflow step, and starting small and iterating until each step is solved. It identifies where people come in to involve, evaluate, and approve, then turns to assembling and testing the workflow. It closes with building in ROI and quality metrics beyond time saved, including accuracy rates, client delivery speed, and error reduction, and preparing for rollout.

BREAK | 1:30pm – 1:40pm

SESSION 3 – Deploy Legal Workflows: Take your automation to production | Bob Ferrante & Rick Wood & Sophiya Volkova | 1:40pm – 2:20pm

The final session takes the workflow to production. It addresses security concerns, working with users to test the automation and incorporate their feedback, and getting signoffs from IT and management, followed by education and rollout. It then covers keeping the roadmap open to growth, using what you learned to prepare for the next workflow, and applying principles of reuse. It closes with client conversations and billing realities: managing client expectations, transparency regarding AI usage, and the impact of AI efficiency on hourly billing models.
